Instructions for Session Chairs
As a Session Chair, you are responsible that your session proceeds smoothly and runs on time according to the posted schedule: ICPR 2026: Program of conference | ICPR2026website.
Please do not forget to fill out the Session Sheet at the end of your Session in the form that was sent to you.
Before the Session
Study your session’s content carefully at the ICPR 2026: Program of conference | ICPR2026website for any last-minute changes to your session.
Familiarise yourself with your session and presentations. There is access to the presenters’ papers through the session webpage. Review the papers that will be presented and prepare questions in advance to help stimulate discussion.
Arrive at your session 10-15 minutes before the start time. Presenters have been instructed to do the same, see ICPR 2026: Oral Presentation Instructions | ICPR2026website. Presentations have been pre-loaded in the computer in the room.
On arrival, check the session room for necessary AV equipment and notify immediately the available Technical Assistant if something is needed. Check with each author to be sure that they are familiar with the AV equipment.
During the Session
Introduce yourself to the audience before the start time, announce the session title, and kindly request for participants to take their seats quickly. Encourage the audience to take the front and center seats as well as to set mobile phones on silent mode.
Start the session on time.
In case there are no last-minute updates, please strictly adhere to the schedule relating to the order of speakers, as well as start and end times of each presentation. This is very important for the conference; we must allow all speakers their allotted time.
Introduce the speaker and paper title as displayed within the Program.
Encourage the audience to pose questions to the presenter at the end of each presentation.
If the presenter does not leave time for questions, then proceed to the next presentation without the Q&A and invite the audience to get in touch with the speaker during the coffee/lunch breaks.
At the end of the session, kindly thank all presenters again as well as the participants for their engagement in the session.
Note that some papers, despite everyone’s efforts, may not be presented at the conference. Be sure to indicate who presented on the Session Sheet in the form that was sent to you. If the presenter is not the author/co-author of the paper, note this as well under the name of the presenter. If the paper was not presented at all, indicate that clearly in the report.
As a Session Chair you ought to be prepared for the unexpected. For example, if a presenter ends early, then fill the time with questions from the audience and your own questions.
NOTE!
If a presenter does not show up, then the Session Chair should make a pause in the session and start the next talk as scheduled in the program. This is to facilitate participants to move between parallel sessions and attend talks that interest them.
